Please take the time to read all of the below information which outlines our terms and conditions, hot stub safety information and our Equality, Diversity & Inclusion Policy. By booking and staying with us at Mill House Farm indicates that you have read, understand agree to all of the polices outlined below.

TERMS AND CONDITIONS

CANCELLATION AND ALTERATION POLICY

If for any reason you are unable to arrive on the dates booked, we are unable to provide any refund and we strongly advise that you take out suitable travel insurance to cover your stay.

 

Alterations to any bookings are entirely at the owner’s discretion.

 

IF WE NEED TO CANCEL YOUR STAY

If, due to circumstances beyond our control, we are forced to cancel or amend your stay, we will notify you as soon as possible to discuss alternative arrangements.

 

Our liability would not extend beyond the total cost of your booking with us and a refund or change of dates will be offered.

 

BOOKING POLICY SUMMARY

  • All guests must be 18 years of age or above

  • Check in is from 4 pm

  • Check out is by 10 am on the day of departure

 

GUEST NUMBERS

Under no circumstances may more than 2 guests stay in the property.

 

NOISE POLICY

Please keep noise to a minimum.

 

PAYMENT POLICY

  • A 25 percent deposit will be payable upon booking with the remaining 75 percent becoming due 6 weeks before the date of arrival

  • If the booking is made within 6 weeks of arrival, the full amount will be due at the time of booking

 

SECURITY DEPOSIT AUTHORISATION

Before your stay you will be requested to store a card with our booking system which will be held as a security deposit pre authorisation.

 

CARE OF THE PROPERTY / DAMAGE

Guests are responsible for taking care of the property during their stay and are accountable for any breakages or damage caused, which must be reported as soon as possible. The costs are payable on demand and are not restricted to loss or rental. The owners reserve the right to include consequential and incurred losses.

 

All equipment and contents must be left clean and tidy on departure with the exception of bed linen and towels.

 

Guests must ensure that the property is not exposed to any increased risk of flooding, for example taps left turned on, or fire, the use of candles and fireworks is strictly prohibited.

 

If your party is intending to leave the property for a period of time, please ensure all the windows and doors are securely locked.

 

HOT TUB USE

  • Use of the hot tub is entirely at the guests own risk

  • People with skin, ear, genital or other body infections, open sores or wounds should not use the hot tub due to the possibility of spreading infection

  • The use of the hot tub by persons under the age of 18 is strictly prohibited

  • The heat of the hot tub water speeds up the effects of alcohol and can cause sleepiness, dizziness and unconsciousness. Do not use whilst or after drinking alcohol

  • Never use the hot tub whilst using or after using narcotics or other drugs that may cause drowsiness or raise or lower blood pressure

  • The water will be kept at a temperature of at least 37 degrees. Please do not attempt to adjust this. You are advised to limit the time spent in the hot tub to a maximum of 1 hour per session

  • At times, the water may appear a little discoloured and slight staining may be visible on the hot tub carcass. This is due to the water being drawn from our onsite bore hole and is high in natural minerals

  • Our water is tested annually by the local Environmental Health Service and we test the tub water daily to ensure correct water balance and sanitisation

  • Please do not use the hot tub whilst wearing fake tan or any other lotions or creams

  • Shower with soap and water before and after using the hot tub

  • Do not immerse your head in the hot tub water

  • Please make sure that the hot tub cover is replaced and secured when the hot tub is not in use

  • A maximum of 2 people should use the hot tub at any one time. Care should be taken that water does not leave the hot tub, as if the water level drops, it may cause the pumps to run dry and break the hot tub. If this happens at any time the owners should be informed immediately so the tub can be refilled and rebalanced. Under no circumstances should the tub be used until this has been done

  • Avoid using the hot tub immediately after a heavy meal

  • Take care when entering and leaving the hot tub. When leaving the tub, leg muscles may be relaxed enough to make you unsteady

  • Avoid using the hot tub water immediately after exercising as the water temperature can affect the heart rate

  • Never use glass near or in the hot tub as broken glass can cause a risk to people in bare feet and is very difficult to see within the hot tub water

  • Take care on the steps by the hot tub as water from the tub can cause it to be slippery

  • Do not use any electrical appliances near or in the hot tub

  • If any allergic reaction occurs, leave the hot tub and rinse off in the shower. If the reaction persists, please contact a doctor

  • If any fault or damage occurs with the hot tub, please contact the owners immediately

  • Do not turn the hot tub isolation switch off except in an emergency as the hot tub power needs to be turned on to carry out the cleaning cycles

  • Ensure no contaminants such as bubble bath, alcohol or oils are placed in the water as this can upset the chemical balance and cause allergic reactions

  • Our staff are BISHTA trained in safe water management

 

CAMP FIRES AND BARBECUES

  • Campfires and guests own barbecues are not permitted on this site

  • No treated wood or other materials are permitted to be used on the fire pit

  • The fire pit must remain in the designated area outside the pod

  • When alight, the fire pit must not be left unattended. The lid should be replaced to snuff the fire out if you need to leave it unattended

  • Disposable barbecues should only be used on top of the fire pit lid and remain there until cold for appropriate disposal

  • Other than the fire pit or disposable barbecues purchased from Mill House Farm Pods, no other barbecues are permitted on this site

 

E BIKES AND E SCOOTERS

  • Storing and battery charging e bikes, e scooters and any similar items in the pod is strictly prohibited

  • Other electric vehicles must not be charged from the property

 

CAR PARKING

  • There is 1 parking space on the car park per booking

  • All vehicles are left at the owners own risk

  • Vehicles are only permitted on the designated parking area

 

SMOKING

  • Smoking and vaping inside the pod is strictly prohibited

  • Smoking of any kind in or near the hot tub is strictly prohibited

  • Guests may smoke outside but please be considerate of other guests on the site

  • Please use the ash trays provided to dispose of rubbish

 

PETS

We have a strict policy of no pets on this site.

 

CHILDREN

We cannot accept children on this site. All guests must be 18 years or over.

 

VISITORS

No visitors are permitted other than with prior agreement with the owners.

 

RIGHT OF ENTRY

The owners reserve the right to enter the property at any reasonable time for the purpose of emergency repairs should they become necessary. They will respect your right to privacy and confidentiality and accommodate any reasonable request regarding timing.

 

FARM SAFETY

As we are a working farm, you will regularly see farm machinery using the farm track. Please take extra care when out and about. You will also see farm animals around the site. Please do not enter any fields or open any gates as farm animals can be unpredictable.

 

Please do not touch or feed any of the animals.

 

GROUNDS

  • Please dispose of all rubbish in the bins provided

  • Drive slowly both in the car park and on the stone access track as this is also a public footpath

  • The ponds around the site are not for recreational activities. Guests are asked not to go near them, swim in them or partake in any other activity near or in them

  • Please take care whilst walking around the site. Watch for branches, stones and other natural obstacles. Beware of wooden surfaces which can become slippery when wet

 

DRONES

The flying of drones on the site and around the wider farmstead is strictly prohibited.

 

SHARED BOOKINGS POLICY

  • Shared bookings are prohibited

  • The registered guests must remain the same for the duration of the stay and must be the same as those named on the security deposit

 

GROUP BOOKINGS

  • During a group booking guests are permitted to join friends or family in neighbouring pods, but a maximum of 2 adults only may sleep in each pod

  • A maximum of 2 people may use the hot tub at any one time

  • Noise must be kept to a minimum

 

STAG AND HEN PARTIES

We do not accept stag or hen parties or similar.

 

WHEELCHAIR ACCESS

Our pods are unsuitable for wheelchair use.

 

LOSS OR THEFT

Mill House Farm Pods do not accept any responsibility for any loss or theft on the site including inside or outside.

 

TRAVEL INSURANCE

We strongly advise that you take out suitable travel insurance for your stay to cover cancellation costs or any damage to the property.

 

DISCOUNT CODES

Discount codes may be offered by us at our discretion. We reserve the right to stop or alter any discount codes without prior notification.

 

COMPLAINTS PROCEDURE

You must inform the owner immediately of any problems which may arise and every effort will be made to take remedial action as soon as possible. In the unlikely event of a loss of service, failure of equipment or another unforeseen circumstance, the owners cannot be held liable for compensation.

 

LIABILITY

The owners of Mill House Farm Pods shall not be liable for death or any personal injury. No liability is accepted for any damage, injury, loss, expense, accidental or otherwise, or inconvenience to you or a member of your party.

 

This policy extends to personal belongings, damage by or to any third party or damage to any motor vehicle or its contents which may be suffered, incurred, arise out of or in any way connected with the hire of the property at Mill House Farm Pods.

 

The terms of the contracts (rights of the third party) Act 1999 shall not apply to this contract.

 

The floors and steps throughout the property are tile and wood and particular care should be taken.

 

If any of these Terms and Conditions are contravened, the owners reserve the right to revoke the booking without refund.

HOT TUB SAFETY POLICY

To ensure the safe and enjoyable use of the hot tub, we request that you read through and adhere to the following: 

  • Persons who are pregnant, have heart disease, diabetes, low or high blood pressure, or any serious illness should not enter the hot tub without prior consultation with their doctor. 

  • People with skin, ear, genital or other body infections, open sores or wounds should not use the hot tub due of the possibility of spreading infection. 

  • The use of the hot tub by persons under the age of 16 is strictly prohibited. 

  • The heat of the hot tub water speeds up the effects of alcohol and can cause sleepiness, dizziness and unconsciousness.  Do not use whilst/after drinking alcohol. 

  • Never use the hot tub whilst using or after using narcotics or other drugs that may cause sleepiness, drowsiness or raise/lower blood pressure. 

  • The water will be kept at a temperature of 37oC (please do not attempt to adjust this).  You are advised to limit the time spent in the hot tub to a maximum of 1 hour per session. 

  • At times, the water may appear a little discoloured and slight staining may be visible on the hot tub carcass.  This is due to the water being drawn from our on site bore hole and is high in natural minerals 

  • Our water is tested annually by the local Environmental Health Service and we test the tub water daily to ensure correct water balance and sanitisation. 

  • Please do not use the hot tub whilst wearing fake tan or any other lotions/creams. 

  • Shower with soap and water before and after using the hot tub.  Showering before use washes away many of the common skin bacteria and removes lotions, creams, fake tan etc. which reduce the effectiveness of the spa sanitiser which disinfects the water. 

  • Do not immerse your head in the hot tub water.  This increases the risk of infection and can heighten the dangers of drowning due to the suction below the water line. 

  • Please make sure that the hot tub cover is replaced and secured when the hot tub is not in use.  

  • Never use the hot tub alone. 

  • A maximum of 2 people should use the hot tub at any one time.  Care should be taken that water doesn’t leave the hot tub, as if the water level drops, it may cause the pumps to run dry and break the hot tub.  If this happens at any time the owners should be informed immediately on 07385 216694 so the tub can be re filled and   re-balanced.  Under no circumstances should the tub be used until this has been done. 

  • Avoid using the hot tub immediately after a heavy meal.

  • Take care on the steps by the hot tub as water from the tub can cause it to be slippery. 

  • Do not use any electrical appliances near/in the hot tub. 

  • If any allergic reaction occurs, leave the hot tub and rinse off in the shower.  If the reaction persists, please contact a doctor. 

  • If any fault or damage occurs with the hot tub, please contact the owners on 07385 216694   immediately. 

  • Do not turn the hot tub isolation switch off except in an emergency as the hot tub power needs to be turned on to carry out the cleaning cycles.

I/we have read this document and understand what it says and I/we promise to follow the rules of safety and to take responsibility to ensure that all members of our group also abide by these rules

IMPORTANT: If the hot tub needs to be shut down due to misuse or rebalanced due to water loss it will incur a £75.00 charge to refill/rebalance it. 

   

PLEASE NOTE: To comply with HSE REGULATIONS the hot tub water is checked regularly so please ensure the hot tub is not in use before 9am  If it is necessary to test again later in the day, this will be arranged at a mutually convenient time.

Our disciplinary and grievance procedures

Details of the organisation’s grievance and disciplinary policies and procedures follow standard procedures. This includes with whom an employee should raise a grievance — usually their line manager.

 

Use of the organisation’s grievance or disciplinary procedures does not affect an employee’s right to make a claim to an employment tribunal within three months of the alleged discrimination.
